We require an applicant’s identity to be verified, whether the applicant is an individual and/or entity, prior to assessing their application.
We prefer identification to be completed via ZipID, either by yourself through the ZipID app, or using the ZipID Agent Service where you are not able to meet your customers face to face. ZipID is free for both yourself and your customer, and is an easy way to ensure that all identification and certification requirements are met.
If ZipID doesn’t suit your needs, or if your customer doesn’t live in a ZipID Agent Service location, we have other options to complete the VOI requirements, including utilising video technology or having an authorised third party conduct the VOI on your behalf.
Face to Face
Our preference is to use the ZipID app to facilitate conducting VOI. Once you’ve conducted the VOI, a Verification of Identification report will be sent via email to provide in your application.
If ZipID doesn’t suit you, you can manually conduct VOI by certifying copies of original documents by dating and certifying each copy as a true copy of the original. Identification we require can be found on the Consents and Declarations form.
You’ll then need to complete the VOI declaration on the Consents and Declaration form, ticking face to face with broker as the identification method and provide either the ZipID Verification of Identification report or the certified copies of identification as supporting documentation.
Verification via approved Identity Agent
You can arrange for an Identity Agent to conduct a VOI face to face on your behalf through ZipID. A ZipID VOI report will then be sent to you via email to include as a supporting document for application.
You’ll then need to complete the VOI declaration on the Consents and Declaration form, ticking approved identity agent as the identification method and provide the ZipID Verification of Identification report as supporting documentation.
VOI via video technology
VOI via video technology such as Skype or Facetime, may be used if other options are not available.
First you must get the applicant to send a copy of their identification documents to the broker conducting the VOI. Identification we require can be found on the Consents and Declarations form.
The applicant must display the original ID via video and you must be satisfied the copies match the originals. Then you must certify each identification document by signing, dating and certifying each copy as a true copy of the original.
When completing the VOI declaration on the Consents and Declaration form, tick the face to face with broker option. In commentary section under the CID option make a note referencing the use of video technology for the VOI, including the technology used.
Certified Identification form
If you are unable to meet your broker face to face or via video conference and the applicant doesn’t live in an approved Zip ID Identity Agent location, you will need them to arrange for a completed Certified Identification (CID) form to conduct the VOI. This form is only to be completed by a Justice of the Peace or a Police Officer. They will need to sign, date and certify each identification document with the wording “This is a true copy of an original document provided”.
You’ll then need to complete the VOI declaration on the Consents and Declaration form, ticking certified identification form as the identification method and provide a reason why a CID form needs to be used. The completed CID form and certified documents must be provided as supporting documentation.
Certifier’s details and declaration
All copies of identification are to legible and record the following on each copy, “This is a true copy of an original document provided”.
The broker (or where the CID form is being utilised, the JP or Police Officer) should print and sign their name and the date copy. Any applicable Qualification number should be provided.
